User Guide: Club Registration and Admin Access

Audience: end users, club administrators, and operations staff.  Last updated: March 2026.

What does this guide cover?

This guide explains how to:

  1. Request the creation of a new club on the platform.
  2. Access an existing club as administrator using an access code (CAOC).
  3. What happens at each step and what notifications you will receive.

Path A — Register a new club

Use this path when you want to create a club that does not yet exist on the platform.

Who can do it?

Any registered user. No prior role is required.

Steps

1. Open the request

In your profile, tap "Request new club". Fill in the form:

Tap Submit request.

2. Wait for review

A platform administrator will review your request. This may take up to 24 h. You will receive a notification (in-app and push) when a decision is made.

Path B — Access an existing club as admin via code

Use this path when the club already exists and you have been given an administrator access code (CAOC code).

The code format is: CAXXXXXXXX (two letters followed by eight characters).

Who can do it?

Any registered user with a valid code. If the code is tied to a specific email, you must use the account with that email.

Steps

1. Open the claim dialog

In your profile, tap "Admin access with code" (below "Request new club").

2. Enter the code

Enter the code exactly as sent (case-insensitive). Tap Validate: you will see the club name the code belongs to.

3. Confirm the request

Tap Submit request. Two scenarios are possible:

Scenario B-1: Immediate access (no active administrators)

If the club has no active administrators, the system automatically assigns you the club_admin role.

Scenario B-2: Requires review (club already has administrators)

If the club already has active administrators, your request stays pending until one reviews it.

An existing administrator cannot approve their own claim. If you are the sole admin, the platform manages the process.

Administrators and operations managers are notified on each approval as a security measure to detect unexpected access.

Frequently asked questions

Can I use the same code more than once?
No. Each code is single-use and is invalidated after being successfully claimed.

The code says "already used" but I didn't use it.
Someone else already used it. Ask the issuer to generate a new one.

The system says the code is not for my email.
The code was issued with a specific email. Use the account with that email, or ask the admin for a code with no email restriction.

The code has expired.
Codes typically have a 14-day validity. Ask the club administrator for a new one.

How long does a Path A request review take?
It depends on the platform administration team. You will receive a notification when a decision is made.

The club already exists but nobody gave me a code.
Contact the current club administrator or platform support.

Can I administer more than one club?
Yes. Each code or request links to a specific club. You can hold roles in multiple clubs.
